Adding and Inviting People

You can easily add staff members and other users to ScheduleBase. Click on Add from the People page or click Add New from the Schedule page. 

Organizing people into different groups 
ScheduleBase allows you to separate people into different categories or sections on the schedule. Go to the Groups page to define these groups. Use the Group dropdown list to place people into specific groups when adding and editing people.


Note The same person cannot be in more than one Group. You should create multiple schedules if you need a person to appear on more than one schedule. See Multiple Schedules.



Use the View dropdown on the Schedule page to view and schedule a particular group of people. 

Inviting people 

One of the most powerful features in ScheduleBase is the ability for staff to check their schedules online or have schedules sent to them automatically via email or text message. Equally powerful is the ability for staff to maintain their regular availability or make schedule requests.  However, before any of this can happen, you must enter their email address.  ScheduleBase will email each person an invitation notice when you click on the Save button. 

Note  Please take care that you enter the correct email address for each person. If the person does not receive an invitation the first time you can check the Send new invitation and login information box and press the Save button to resend new login information. 


Important Staff will not be able to receive schedules via email or text message until they receive this email invitation and log into ScheduleBase. Once logged in, all users should click on My Profile and change their personal preferences. 


A warning icon will be displayed next to each person on the schedule that has not yet accepted their invitation.  This icon it means that this person will not be able to receive schedules or make requests until they validate their email address by responding to your invitation.


Once a person has accepted your invitation and logged in, they will be able to perform various tasks depending on what type of user they are. ScheduleBase has six different user types. 

Staff 
A Staff Member can view everyone's schedule, change personal information, update their regular availability and make special daily requests. Staff Members can also request that their personal schedule be emailed or sent to their mobile phone when posted or changed. 


Staff (limited)

A limited Staff Member can only see their own personal schedule.  They can change personal information, update their regular availability and make special daily requests. Limited Staff Members can also request that their personal schedule be emailed or sent to their mobile phone when posted or changed. 


Staff (self schedule)

Staff Members that have been designated as 'Self Schedulers' will be able to make changes to their own personal schedules. These users will be able to change personal information, update their regular availability and make special daily requests. Self Schedulers can also request that their personal schedule be emailed or sent to their mobile phone when posted or changed.


Note By default staff members cannot see other people's regular availability or requests. Administrators and Schedulers can adjust this setting to make this information visible to everyone. See Custom Settings.

 


Schedulers
A Scheduler can add, edit or delete Staff Members or other Schedulers but can only do this on schedules they have been added to. Schedulers do not have access to the Admin page. Check Hide on this schedule for Schedulers that should not appear on the schedule. 

Administrators 
Administrators have full access to a ScheduleBase account. Check Hide on this schedule for Administrators that should not appear on the schedule. 

Inactive 
A user who has been made Inactive will no longer appear on the Schedule and will not be able to login. You can reactivate a user by changing their user type.
